Terms of service
Last updated 5 November 2026 · Operated by Scale Nxt
These terms govern the use of CafeteriaBills, a pay-by-link ordering service provided by Scale Nxt. By signing in to the staff app or admin console, or by placing an order through a cafeteria's shop or payment link, you agree to them.
1. The service
CafeteriaBills lets cafeterias build orders, send payment links on WhatsApp, run an online shop per branch, and manage kitchen and delivery work. Scale Nxt provides the software and hosting. The cafeteria sells the food; Scale Nxt is not a party to the sale and is not a payment institution. Card payments are processed by a licensed payment gateway under that gateway’s own terms.
2. Cafeteria accounts
- A cafeteria (or company) is onboarded by Scale Nxt and receives staff accounts for owners, kitchen and delivery staff, each limited to the actions of its role.
- The cafeteria is responsible for the accuracy of its menu, prices, delivery fees and opening information, and for keeping staff PINs and administrator passwords confidential.
- The cafeteria must hold the licences required to sell food and to accept payments in its country and must comply with applicable consumer, tax and data-protection laws.
- The cafeteria must configure and maintain its own payment gateway account. Payouts, chargebacks and refunds are handled between the cafeteria and the gateway.
3. Customers
- No account is needed. You order as a guest with a phone number and delivery address, and you can track an order by its number.
- An order is confirmed only when the payment gateway reports it as paid, or when the cafeteria records a cash payment.
- Payment links expire after the time set by the cafeteria. An expired link cannot be paid; ask the cafeteria for a new one.
- Questions about food, delivery times, cancellations and refunds are for the cafeteria that took your order. Scale Nxt will help the cafeteria resolve payment issues.
4. Fees
Subscription and service fees for cafeterias are agreed in writing with Scale Nxt before onboarding. Payment gateway fees are charged by the gateway according to its own pricing. Customers pay only the order total shown on the pay page.
5. Acceptable use
You may not:
- use the service for anything unlawful or to sell goods the cafeteria is not licensed to sell;
- attempt to bypass role restrictions, access another cafeteria’s data or probe the service for vulnerabilities;
- send payment links or messages to people who have not asked to deal with the cafeteria;
- interfere with the operation of the service, for example by automated bulk requests.
We may suspend accounts or cafeterias that breach these terms, after notice where practical.
6. Availability and support
We aim to keep the service available around the clock but do not guarantee uninterrupted operation. Planned maintenance is announced in advance where possible. Support is provided to cafeteria owners and administrators through the contact channels agreed at onboarding.
7. Data
Our privacy policy describes how personal data is handled. The cafeteria owns its business data (menu, orders, customers) and may request an export of it. On termination we delete or return the cafeteria’s data within 90 days, except where the law requires us to keep records.
8. Intellectual property
CafeteriaBills, its software, design and documentation belong to Scale Nxt. The cafeteria receives a non-exclusive, non-transferable right to use the service for its own business while its agreement is in force. Cafeteria names, logos and menu content remain the cafeteria’s property.
9. Liability
The service is provided with reasonable skill and care. To the extent permitted by law, Scale Nxt is not liable for indirect or consequential loss, lost profits, or for disputes between a cafeteria and its customers, and our total liability to a cafeteria in any twelve-month period is limited to the fees paid by that cafeteria for the same period. Nothing in these terms limits liability that cannot be limited by law.
10. Termination
A cafeteria may stop using the service at the end of its agreed term by notice to Scale Nxt. We may terminate for material breach that is not fixed within 14 days of notice, or immediately where required by law or to protect the service and its users.
11. Changes and governing law
We may update these terms; the date at the top shows the current version, and continued use after a change means acceptance. These terms are governed by the laws of the country named in the cafeteria’s agreement with Scale Nxt (Qatar or the United Arab Emirates), and disputes are subject to the courts of that country.
